A content inventory helps your operation answer questions. It does not replace the checks FanPay Link requires or certify legal compliance.
Connect the picture to a source record.
| Field | Purpose |
|---|---|
| Internal content reference | Match the original to the offer |
| Creator reference | Identify the source in your own system |
| Permission-record reference | Locate the relevant record without copying it into every worksheet |
| Prepared-file reference | Identify the exact version intended for sale |
| Validation note | Record the observed status or question to confirm |
| Offer/link reference | Connect the approved picture to the shared offer |
Keep working records limited to the task.
Avoid putting identity documents, payment-card information or unnecessary personal details in a general sales spreadsheet. Keep references to appropriately stored records rather than duplicating sensitive material. ICO guidance on data minimisation provides a useful principle: collect only what is needed for the purpose.
Confirm your actual obligations, retention arrangements and access controls for the operation. This checklist is not a legal consent form, a statement of the law in every country or a description of unconfirmed FanPay storage features.
Keep agency records and platform checks separate.
Your internal inventory does not approve a picture for a paid link. FanPay Link validates pictures before attachment, and identity or whitelisting requirements depend on the creator and content. Ask sales which documents and secure submission process apply to your setup.
If an offer changes, use the internal reference to identify the affected picture and ask which requirements need checking again. Do not send identity documents to a general email address simply because a worksheet has a field for a record reference.
Create a content record index.
